Administrative Supervisor reporting directly to the Commissioner of Licenses and inspections, plays a crucial role coordinating the licensing processes, complaints tracking, ensuring compliance with regulations, and provides leadership to administrative staff, under the general guidance of the Administrative Assistant I.
DUTIES AND RESPONSIBILITIES As a supervisor, develops and manages the administrative licensing process, performance, compliance, record keeping, training & development, customer service, and reporting analysis for daily operation.
Additional responsibilities include:
Conducts performance management which includes timekeeping, prioritizing workloads for daily operation, complaints tracking and directs process automation.
Supervises licensing and information management process i.

, rental inspections, business licenses, etc.
Reviews customer service complaints, ensuring all complaints directed to the department are logged, tracked, and resolved in a timely manner, conducts training initiatives to ensure a positive customer experience.
Develops and maintains standard operating procedures (SOPs) to address inefficiencies ensuring compliance.
Performs data management in various applications/software tools i.
e.
, Munis, Delaware Criminal Justice Information System (DELJIS), Salesforce etc.
Prepares reports and correspondence while proposing recommended solutions.
Manages budget lifecycles to support the administrative division as needed.

EDUCATION AND EXPERIENCE Requires at least a high school diploma/GED, with experience as an office manager or administrative assistant; or equivalent combination of education and experience with a demonstrated ability to perform the job responsibilities.
Preferred:
College course work in business management or related field.
Knowledge:
Considerable knowledge of record management using data tracking, billing, or criminal entry database software.
Expert knowledge of Microsoft office suite (Excel, PowerPoint, Word).
Thorough knowledge of complaints Tracking System, Limitation of Occupancy Notification (LON), DELJIS processes.
Skills:
Possess excellent supervisory and administrative assistant skills with the ability to plan, assign, direct, and review the work of subordinates.
Create and recommend improvements in administrative report preparation and maintenance.
Budgeting and reconciliation.
Abilities:
Staff training and development of new and existing programs.
Ability to establish and maintain a professional rapport with all department employees and the public.
Licenses:
Must obtain DELJIS certification.
