Executive Assistant (to Medical Center Director)

This position serves as a member of the Executive Leadership Team of the Wilmington VA Medical Center (WVAMC), Wilmington, Delaware and reports to the Medical Center Director. The primary purpose of this position is to serve as the Executive Assistant to the Medical Center Director in providing expert support to health care management officials by analyzing, evaluating, advising on and/or coordinating health care delivery systems and operations. The position renders advice on operational policies and assures these policies are coordinated with, and in support of, field operations and administrative functions in coordination with the health care services and the mission of Wilmington VA. The incumbent is expected to use initiative in organizing and accomplishing the responsibilities that have been delegated. The incumbent works closely with senior management officials to include other VAMCs, VISN and VACO leadership as well as external leaders from external community stakeholder groups and others in implementing and evaluating policies, plans, and internal operational systems. The incumbent addresses specific problem areas and applies a high degree of analytical ability and specialized healthcare knowledge to the management of healthcare delivery systems. He/she exercises broad latitude and provides senior expert level advice to senior executive personnel, and/or agency officials concerning complex, novel, and unusual healthcare issues. This position has authority to represent the Director in committees, meetings, and external communications. The Supervisory Health System Specialist/Executive Assistant (EA) is responsible for managing the day to day needs of the Office of the Director. - Manages all controlled correspondence and inquires/action items assigned to WVAMC ensuring deadlines are met. EA frequently interacts with VISN and VACO staff to ensure responses are accurate and appropriate. Prepares documents for VISN and VACO review. - Develops processes and recommendations to ensure efficient office operations within the Director's Office. - Developing training for and enhancing expertise for facility executive support in meeting WVAMC, VISN, VHA and VA expectations in communicating critical issues and developing appropriate responses to stakeholder inquires. - Evaluating, processing and making recommendations for effective organizational change and incorporating that information into a facility-wide strategic plan. Coordinates the planning, organizing, developing and implementing programs/projects to meet the special needs of our stakeholders, Veterans and employees. Some of the program and policy development have national implications (i.e. Legionella and Water Safety) based on the topic. Duties include:
policy and information research, data analysis, networking with subject matter experts. - Undertaking and participating in special programs and site visits. Site visits will, at times, involve national representation. Incumbent is responsible for the coordination of all visits and events attended by Secretary, Department of Veterans Affairs (SECVA) and other high profile members of SECVA staff and congressional representatives. Incumbent coordinates these visits directly with the SECVA staff members and representatives. Incumbent acts as the medical center liaison for all events involving SECVA staff and national stakeholder groups. - Serves as the facility Chief Patient Experience Officer (PEO). And is responsible for all functions related to patient experience matters including patient experience efforts, policies and activities which may be developed at the National, VISN, medical center levels. The incumbent is responsible for the Patient Experience, Employee Engagement, Patient centered model of care initiatives, including development and implementation as well as ensuring the employee understanding and ownership of the patient experience focused culture. The position serves as a conduit and subject matter expert to other sources of the patient experience and patient centered models of care at multiple levels in the organization, including the VA Veterans Experience Office, Office of Patient Centered Care, Office of Patient Advocacy, etc., to ensure the health care system has support needed to provide consistent, positive patient experiences. The position oversees the Patient Experience Office which has executive leadership authority to support the organizational needs for improvement experiences, practicing patient experience and guiding service recovery. You must have one year of specialized experience equivalent to at least the next lower grade GS-12 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
